Downloading Your Guest List

Download PDF reports with or without table images and download your guest list and seating chart to Excel

There are two different areas where you can download your guest list: The Guest Manager or the Layout & Seating tool. Scroll down to learn more!

Downloading From The Guest Manager

To download your guest list from your guest manager, you'll first want to pull up the guest list for the specific event you'd like to download (especially if you're managing the guest list for multiple wedding-related events, such as the rehearsal dinner in Aisle Planner)

Use the drop down menu toward the top of your guest manager to select the event.

Then, click on the gold action box for your download options:

From here, if you have more than one layout connected with the list you are wanting to download, you will be asked to choose which is the correct associated layout

Once you choose the correct layout, your options to download will open up. 


There are three download options:

A. Final Guest List Report

The Final Guest Report is a PDF report that includes:

  • Total counts for Confirmed Guests (and a total count of guests you're still awaiting a response from)

  • Total meal counts for each meal (if you're tracking meals in Aisle Planner)

  • List of guests, in alphabetical order by last name along with the table they are assigned to, their age (adult, child or infant) and meal selections (if you're tracking meals in Aisle Planner) and any special considerations that should be noted (if they're in a wheelchair, or if they need a highchair as well as any food allergies)

  • The guest list by table, including roles, meal selections and any special considerations. It also includes table images, if marked prior to downloading.

  • A list of all guest parties, and total count per family

If it's the day of the event, you may want to consider including the table images to your Final Guest List Report to aid in place card setting. 

Each table as it appears on your layout is how it will appear on PDF download, meaning, if seat one is at the 12 o'clock position on your layout, it will be at the 12 o'clock position on the download.

B. Guest List Spreadsheet

The Guest List Spreadsheet is a Microsoft Excel download that includes two separate tabs for each of the events you're tracking guests for in this particular wedding:  one for all individual guest for that event, and another for all guest parties for that event. Excel workbooks can also be opened by iWorks Numbers.

The Guests Tab Includes the Following Columns:

  • RSVP ID

  • Title

  • First Name

  • Last Name

  • Suffix

  • Role

  • Age

  • Gender

  • List (A, B or C list)

  • Response 

  • Needs Highchair

  • In a Wheelchair

  • Out of Town

  • Guest Group

  • Table Assignment 

  • Seat #

  • Notes

The Guest Parties Tab Includes the Following Columns:

  • RSVP ID

  • Names (First, Last, Title and Suffix)

  • Formal Addressing

  • Each Guest's Name In a Guest Party, Including Children or additional guests

  • Total Guests in Each Party

  • Out of Town status

  • Address

  • Email Address

  • Phone Number

  • Guest Group

  • List (A, B or C)

  • Whether a Gift Has Been Received

  • Whether a Thank You Has Been Sent

C. VIP Guests

The VIP list is a PDF report that includes

  • Names of the guests on your guest list that you've assigned a role to, such as wedding party, immediate family members, and other VIP guests

  • Their email addresses

  • Their phone numbers

Downloading From The Layout & Seating Tool

To download your guest list from your layout & seating tool, you'll first want to pull up the specific layout you'd like to download.

Use the drop down menu towards the top of your layout & seating tool to select the layout.


Next, click on the gold export button that you see towards the top right of your layout & seating tool and ensure the Include Guest List box is checked.


While in the PDF Download modal, confirm that your guest list will be included in the download.

Your download will consist of your layout and Final Guest Report.

The Final Guest Report includes:

  • Total counts for Confirmed Guests (and a total count of guests you're still awaiting a response from)

  • Total meal counts for each meal (if you're tracking meals in Aisle Planner)

  • List of guests, in alphabetical order by last name along with the table they are assigned to, their age (adult, child or infant) and meal selections (if you're tracking meals in Aisle Planner) and any special considerations that should be noted (if they're in a wheelchair, or if they need a highchair as well as any food allergies)

  • The guest list by table, including roles, meal selections and any special considerations. It also includes table images on each download. If you'd to remove the tables from this download, please head over the the Guest Manger to download the Final Guest Report there, making sure "Include Table Images" is not checked.

  • A list of all guest parties, and total count per family
