Aisle Planner’s Lead Manager helps you track prospective clients from initial inquiry to booked project. Before embedding your contact forms or receiving your first lead, take a few minutes to configure your lead settings. This ensures incoming inquiries are automatically organized, tracked, and assigned to the right team members from day one.
🛠️ How to Access Lead Settings
To configure your lead preferences, you can jump directly from your user dashboard to your business settings:
Click the Settings icon ⚙️ tab in upper right corner.
Click the Leads tab from the sub-menu toolbar.
Select Lead Settings from the left side menu.
👥 Step 1: Set Default Lead Assignments
When a prospective client submits an intake form on your website, Aisle Planner automatically routes that lead to designated team members.
Click on the gold Default Lead Assignment Team
Click the names of the team members who should be automatically assigned to incoming leads. (A gold checkmark indicates active assignment).
Click outside of the box in Lead Settings or the black All Set button in Lead Index to save your changes.
🔔 Step 2: New Lead Notifications
As soon as a prospect submits an inquiry through an embedded or linked lead contact form:
Instant Alerts: You’ll receive an immediate email notification and an in-app notification so you can respond quickly.
Automatic Record Creation: A new Lead Record is generated instantly in your Lead Manager, populating all client details, notes, and intake responses.
Click on the gold Default Lead Assignment Team
Click the names of the team members who should be automatically notified to incoming leads. (A gold checkmark indicates active assignment).
Click outside of the box in Lead Settings or the black All Set button in Lead Index to save your changes.
📍Step 3: Customize Your Lead Sources
Tracking where your inquiries originate (e.g., Instagram, Referral, Google, Vendor Network) helps you analyze which marketing channels perform best.
In Lead Settings, scroll down to the Lead Sources section and click Manage Lead Sources.
Click the gold + Add New button.
Type in your lead source name (e.g., The Knot, Instagram, Direct Referral).
Repeat for as many sources as you need!
🏷️ Step 4: Customize Your Service Types
Service types reflect the specific offerings your business provides (e.g., Full Service Planning, Corporate Event, Birthday, etc). Setting these up allows you to categorize lead records and offer service selection options directly on your lead contact forms.
In Lead Settings, scroll down to the Service Types section and click Manage Service Types.
Click the gold + Add Service Type button and type in your service name.
Need to remove a service? Hover over any existing service type and click the trash can icon 🗑️.
❌ Step 5: Customize Reasons a Lead Didn't Book
Understanding why an inquiry didn't convert provides valuable insights into your pricing, availability, and sales messaging.
In Lead Settings, scroll down to Reasons A Lead Didn't Book Your Services.
Click Manage Lead Reasons.
Add or edit custom reasons (e.g., Date Unavailable, Out of Budget, Selected Another Vendor, Ghosted).
📋 Step 6: Map Sales Workflows to Service Types (Optional)
If you use specific lead checklists to manage your sales process, you can map your Sales Workflow templates to corresponding Service Types. When a new lead comes in, Aisle Planner will automatically generate the correct task list inside their Lead Record based on the service they selected!
In Lead Settings, scroll to the Lead Checklist Assignment (Sales Workflows) section.
Next to each Service Type, select the corresponding checklist template from the drop-down menu.
Click Save.
💡 Pro Tip: This step is completely optional, but automating your task creation ensures you and your team never miss a follow-up step during the booking process!
