Article 3: Managing Leads: From Inquiry to Project Creation

Master the day-to-day sales cycle and convert leads into active clients.

Once your Lead Contact Form is live, inquiries will start flowing into your Lead Manager. From initial outreach to sharing brochures and proposals, Aisle Planner gives you a central workspace to manage communication, share files, and seamlessly turn booked prospects into active client projects.

🧭 Navigating Your Sales Pipeline

To access your inquiries, click the Sales tab in your top navigation menu.

  • The Lead Index: Gives you a high-level overview of all active, booked, or archived inquiries. You can filter by sales stage (Inquiry, Initial Contact, Proposal Sent, Booked, Lost) or search for specific client names.

  • Adding Manual Leads: If a prospect calls, direct-messages, or meets you at an event, click the gold + Add New Lead button in the top-right corner to create a record manually, or directly from your User Dashboard using the '+' symbol under your Leads Widget.

📑 Inside the Lead Record 2.0

Clicking on any lead opens their individual Lead Record, which serves as your command center for that inquiry:

  • Contact & Project Details: Access client contact info, event date, guest count, estimated budget, and requested services.

  • Notes & Communication: View the original inquiry message, track ongoing email threads, and add internal team notes.

  • Sales Workflow / Checklist: Complete booking tasks and manage follow-up reminders.

  • Lead Files: Access and upload documents specific to this prospective client.

📄 Working with Lead Files & Documents

Sharing information early in the sales process helps build trust and move prospects closer to booking. You can send files and attach templates directly from the Files section within a Lead Record:

  1. Open the prospect's Lead Record and click on the Files tab.

  2. Upload New Files: Click Upload File to add custom attachments (e.g., preliminary mood boards, custom quotes, or venue PDF guides).

  3. Send Saved Templates: Easily attach pre-created brochures, quotes, proposals, or contracts to send directly to your prospect via email.

🚀 Converting a Lead into a Project

When your prospective client is ready to make it official, you can convert their lead record into an active project in just a couple of clicks—no need to re-enter any client or event details!

How to Convert a Lead:

  1. Open the prospect's Lead Record.

  2. Click the black Actions button in the top-right corner.

  3. Select Create Project From Lead.

  4. Review the pre-populated event details, assign project leads/team members, and click Create Project.
