Sending Email RSVP Requests To Guests

Our Online RSVP feature makes it easy to email and follow up with guests by email.

Aisle Planner's online RSVP feature enables you to quickly and easily send online RSVP requests or follow ups to your guest list.  Here's everything you need to know!

The guests will receive an email to the RSVP page where they can select their responses directly and submit. AP will update their guest record as such.

If you do not have guest emails, that's ok! You can activate your digital RSVP link to share outside of AP or via the Website tool. To learn how to set that up, click here.

FYI: Important Things To Know

Before we dive in, here are a few things that you should do before sending an RSVP request to your guest list:

  • Make sure you have entered an email contact for each guest party in the guest manager (only one email per party).

  • Add locations, dates, and times to each of the events in the Guest tab under Event Info & Options.

  • Make sure each guest is marked with the events they are invited to. To quickly see which guests are invited to which event, click into the RSVP Summary page.

  • Each click in the RSVP box will cycle through each response, IF you need to manually track RSVP. Otherwise, ensure a guest is Invited or Not Invited prior to sending your message.

  • Add meal options to each event if you would like people to RSVP with that information.

Sending An Online RSVP Request via Email

  1. Go to your Guest Manager.

  2. Select Send Online RSVP Request via the Guest Message tool.

  3. Select a 'Reply by' date. This is optional and can be updated anytime.

  4. Select (checkbox) ALL events that are active for RSVPing.

  5. Filter to ALL GUESTS for your first message.

  6. Determine a 'Reply to:" email address in case guests want to reply to the email.

  7. Draft your message and click SEND.

Note: Guests will only see the events they are INVITED to.

Pro-tip: You can click on the View Recipient List button to see who will be receiving the RSVP request and spot check that all of the information looks correct. You'll also be able to spot any missing email addresses who won't receive your emailed request to RSVP

How Your Guests Can Respond to an Online RSVP Request

Guests will receive an email requesting a response. When they open it and click on the RSVP button, they'll be directed to their unique RSVP page.

Once there, they can note any food allergies, high chair needs, submit their RSVPs for the events they are invited to as well as make meal selections. They'll also receive a confirmation email once they have and they can update their RSVPs through the link that is included.

Guests can visit their RSVP email at anytime to update or change their responses.
